Privacy Policy

Our Privacy Policy is detailed in this section of the site.

Any changes to the privacy policy will also be detailed here in this section of the site. You will never have to go hunting around other pages within the site to find information on our privacy policy. When we make a change to the policy it will be clearly stated within the change log, which will appear here as soon as any change is made in future.

Information we will store about you:

We will only store the following information about you:

  • Your name
  • Your blog login details
  • Your registration details for the store
  • Your billing address for the purposes of verifying payments
  • Your shipping address for the purposes of shipping products
  • Your purchase history
  • Your email address for the purpose of sending you promotions and product news that you have explicitly “opted-in” for.

Information we will not store about you:

  • Any financial information
  • Credit cards details
  • Debit cards details
  • Any other bank details

We will maintain this list of information at all times. It is possible that the information that we store about you could change from time to time, but, we guarantee that we will not start to retain any further information until we have made changes to the policy and published it. You will be able to see that by checking this page/policy.

Email and Double Opt-in Policy

We will never send you marketing emails that you have not asked for. The way in which we gauge that you have asked for information is by mailing lists that you subscribe to within the site. In order to subscribe to the mailing lists fully we operate a “double opt-in” policy. This means that we do not add you to any mailing lists until you have made a double confirmation that you actually wish to be added to the mailing list.

The way in which you make this double confirmation is simple, when you first enter your email address into a mailing list we class this as a single confirmation, we will not take any action at this point other than to send you an email with a subscribe link in it. When you click this link this is your second confirmation to us (your double confirmation).

The reason for this is that anybody can add your email address to our mailing list form, the only way we can tell that it was really you is that you click the link in the subscribe email. This way we know that we are not sending you information that you haven’t asked for.

What we will send you information about

We will only send you information about our web site, the products in the store and the information in the blog. Our newsletter will be a mixture of those elements. We will never send you any other information in any form – ever.

If you receive different information in emails or normal post purporting to be from Koolwarm Services Limited then you can safely delete it or bin it without even reading it. If the information that you receive contains information about products that are not in the following list then you should assume that it is spam and has not been sent by us.

What we will never send you information about

  • Anything not in the list above
  • External sites that are not related to our industry
  • Great deals on buying a new Watch
  • Deals about pharmaceutical products or drugs
  • Anything related to the adult entertainment industry
  • Anything that is not related to heating, climate control or maintenance of a building.

How will we communicate information to you

Language

We will only ever communicate to you in the English language. Never, ever, ever in any other language. Furthermore we will communicate to you in a very verbose and what you might term as “Queen’s English” manner. Our content will always read well, it will not make any unnecessary use of slang or bad english. Sometimes poor english is termed as “Jinglish” or “Ponglish” especially from Eastern Continental, or Eastern European spammers.

Selling Style

Our company policy is one of “No Hard Sell”, we will never try to push you into a purchase, ever. Whether this is a product or a service. We may enquire with you as to why you abandoned your shopping cart from time to time, but this enquiry will have the sole purpose of us trying to make our business a better experience and not to make you change your mind about a purchase – ever.

We will occasionally run promotions that end by a certain date which will always be clear from the onset of the promotion. We will never run “burst promotions” or, for example, promotions where you will receive an email stating you have 59 minutes left to make this purchase. We will never create any “pressure” for you to buy a product or service, this is not to say that we may make some promotions more compelling than others, but never pressurised.

Email domains

Any emails that we send to you will always be from our company domain [something] @ [koolwarm.] [com]. Unfortunately, modern life in the internet means that other less savoury people will copy our mail domain and use it to try and spam you, a fact you may already be aware of from other sources.

Therefore it is important that we indicate to you which type of email address you should expect mail to reach you from us. We classify this as two types of email address: Inflow and Outflow.

Inflow email addresses: This is an email address that would normally appear to be a company department, such as, sales@ marketing@ etc. These are email addresses where you would send enquiries to us, and never the other way around. By this we mean that we have a policy of personal interaction, you will never receive an email purporting to be from sales@ [koolwarm.] [com] as this is an Inflow mail address where we only take mail INWARD into the company. If you ever receive an email from this type of address then you can safely delete it without reading it as it will not have been sent by us. Email will only be sent from a person (and you can check the validity of the person simply by calling the company contact number) or from an Outflow email address.

Outflow email addresses: This is an email address that would normally appear to be from an event, like a regular newsletter etc. You should normally only receive mail from an address like promos@ [koowlarm.] [com] (this is not an address we will ever use in reality but serves only as an example).

Unfortunately, this system is not infallible but will at least give you some indication of how to interpret that an email has NOT been sent by us.

How we collect the data

Subscriptions to newsletters, promotions and general articles will be via web forms, we will not add arbitrary  email addresses to the site as this has repercussions for spam. When you enter your email address and name into a form it will be processed on the server and stored in a non-writeable or readable zone. It will be accessible only by us.

Personal information, such as addresses etc, will be collected via the store checkout process, again using a secure form. This is an SSL encrypted process and is totally secure.

Not sharing your information

We will never share any information that we hold about you with any third party. Your information will only be used to send you information that you have requested from us. We will not sell, share or in any other way give access to another party to your information – ever.

We may on occasion send you a request to subscribe to another business that we own and run, and never someone elses, which is similar in nature, and only if we feel that there is a benefit to you receiving the information. Purely as an example, if we setup a business to sell white goods appliances, and you have previously purchased one of our products then we may ask you if you would like to opt-in to further information about the new site/products/promotions.

Most importantly, we will only request your opt-in (see our double opt-in policy above), we will not send you a subscription link in this situation – ever. We will only advise you that you may follow the subscription process on the new site if you so choose, you will still have to enter your email address in the site and also double opt-in to the subscription yourself, again we will never ever send you information that you have not asked for except as described here, which still requires the double opt-in.

Under normal circumstances we would advise you of this through the newsletter.
